stage one: mapping

Two-week timeline

Intentional growth always starts with the how, not the what. In other words: strategy!

Here’s what to expect:

  • Pre-meeting questions to assess where you are, help us learn about your processes before we meet, and help us make the best of our time together

  • One 60-min. intro session to talk about your overall business challenges and goals

  • Up to four team member interviews with our client research lead to gather insights into how you work together and team dynamics (optional)

  • A Notion dashboard where you’ll receive a comprehensive audit report of your current business systems

  • A customized roadmap and implementation plan to move forward on the right foot, clarify tasks, and leave room for emerging new ideas

Once we have a version you’re happy with, we move to the build.

stage two: building

six to eight-week timeline

We become your behind-the-scenes team setting up, improving, and documenting your new systems and processes.

Here’s what to expect:

  • Eight weekly 30-min. strategy calls to coach you through the build.

  • Dashboard in Notion to track meeting notes, progress, to-dos, and recordings

  • Async support throughout (either through email, Notion, Tella, or Slack — whatever mode you prefer)

  • First drafts of everything and copywriting made unique to your brand voice

  • Access to my frameworks, templates, strategy, and other resources I use with my clients

stage three: training

Two-week timeline

We quickly and thoughtfully get you up to speed on your new systems experience.

Here’s what to expect:

  • One final training on the new systems and processes we implemented

  • Documentation system setup with fully written SOPs for using your new systems, managing operations, and automation day-to-day

  • Three-month engagement plan to guide you through adopting and embedding the new systems into your daily workflow

  • Three-week asynchronous support post-handover (message us with any questions as you test the waters!)

Systems Discovery is essentially stage one: mapping of our full systems process, with you implementing the full strategy, workflows, and techstack we recommend.

This is made for people who identify with one or more of the following:

  • You’re a solo business owner (no team)

  • You’re not ready for a full systems build. 

  • You want to see what we recommend before implementation. 

  • Your systems need help but you aren’t ready for a $6k+ commitment.

  • Yes, if you are the founder of a service-based business (services or coaching model) that is expanding by adding new members and larger client rosters – and you resonate with our people-first approach that takes a lighter touch with automation and tech. 

    If you’re looking for a systems expert to help you automate-at-all-costs, we’re probably not a fit.

  • Before we kick off, you’ll complete some brief prep work so we can understand how your business currently runs. We'll also need visibility into your key tools (like your project management system, CRM, automation tools, etc.). We only request what’s necessary, and we’ll figure out the cleanest setup together.

  • The Spacious Systems Sprint is $6,000-$10,000, depending on the size of your team (the $6k base rate includes teams up to four members, including the founder).

    Our founder, Ghalizha, will be able to provide a specific estimate for you on your initial call. (Book your call!). 

    The standard payment structure is three payments, 30 days apart, due upfront.

  • Yes, our Systems Discovery offer, which is stage one of the Sprint (mapping), has us designing your systems without implementation. This is a flat fee of $2,500.

  • Automation (whether no-code or AI) is part of our discovery process. If what we uncover shows that your team and business would genuinely benefit more from AI than simpler automation, we’ll thoughtfully build it into your Sprint.

    We don’t implement AI for the sake of trendiness, but we absolutely welcome your curiosity and will help you explore it in a way that fits your values and your workflow.

  • We encourage most of our clients to build primarily in Notion because we’ve found it offers the best user experience for you and your clients. It’s the perfect mix of flexibility and ease of use. 

    That said, we also have expertise in the following platforms if you prefer:

  • Absolutely not. All your existing accounts and workflows will remain active during your Sprint, so business can continue as usual.

  • Of course! All deliverables (dashboards, emails, client portals, etc.) will align with your branding and voice. Revisions are built into the process to make sure you feel great about using your assets.

  • You will be able to make changes on your own after your Sprint. This is so important in terms of you feeling confident in actually adopting your systems, so we make sure never to build anything too complicated.

  • It depends on what you need! Some businesses need systems help in multiple areas, while others are strong in some already and need more targeted support for one area, like client experience. We’ll look at everything and tell you.

  • We're typically booked two to four weeks in advance. If you’re working toward a specific timeline (launch, hiring, season of growth), it’s best to reach out early. Book your call!

  • As soon as your 10-week Sprint is over, you can use your systems. We end our project with everything ready to go.
